Federal Interest Expiration Date
A date to be entered on the Space System room record screen indicating when Federal Interest expires. This involves rooms where Federal funds were used for construction or renovation which had obligations to maintain the purpose for which the funds were supplied and/or obtain approval of the granting Federal agency before the space is modified.

Functional Use
The general activity or business associated with a room, e.g., Instruction and Departmental Research, Organized Research, etc. See Indirect Cost Codes for specific definitions.

Gross Square Footage
The total square footage for a facility measured from the outside wall surfaces of the building.

Indirect Cost Codes
Indirect Cost Codes based upon Office of Management circular A-21. These cost codes are used to allocate depreciation and other indirect costs associated with that room. See Functional Use.

Net Square Footage
Net square footage is the total usable square footage of a facility as measured from the inside wall surface of each room. Included in this figure are nonassignable areas such as mechanical rooms, common corridors, etc.

Net Assignable Square Feet (NASF)
The total assignable square footage as measured from the inside wall surface of each room. It does not include mechanical rooms, public restrooms, common corridors, etc.

Occupant Department
The department occupying and using specified rooms, if different from the assignee department. The occupant department must be approved by the assignee department and the Space on Loan date must be entered. See Space on Loan.

Recharge Centers
University operating units that provide goods and service primarily to other university departments. Recharge Centers recover their costs through charges to benefiting users. Centers that generate between $250,000 and $1,000,000 in annual billings are recognized in the University’s disclosure statement. Renovation Date
The period of time that one or more rooms are inactive while being renovated as indicated by a beginning and ending date (MMYY).

Research Support Data Form
This is a print-out of the source information previously entered in the space system for each room with organized research. The Principal Investigator, the fund numbers, and the SSN’s and names of occupants are included along with other room data. Also known as the “Long Form”.

Room Type Codes
Room Type codes are used to assign rooms to general categories such as offices and non-class laboratories. These codes are based on the Room Type Category Structure recommended in the Postsecondary Education Facilities Inventory and Classification Manual.

One or more rooms occupied by a department other than the assignee department, usually on a temporary basis.

Space on Loan Date
The period of time a room is on loan, indicated by the beginning date and the ending date (MMYY).

Annual report sent to departments showing the rooms assigned to the department, their net square footage and the function and use of the rooms. Also known as the “Short Form”.

Specialized Service Facility
A Specialized Service Facility is by definition a university operating unit that recovers its costs through charges to the benefiting users and having annual billings greater than $1,000,000. See also Recharge Centers
